Inspection-based septic pumping only.
The inspection decides whether your tank is due for its one included pumpout. We schedule visits with you by date; we do not pump on a fixed calendar.

Parties. “Basic Pump-Out Plan by Drainfield Solutions” (“Basic Pump-Out Plan” or “the plan”) is sold by Drainfield Solutions, LLC, 17507 Richmond Turnpike, Milford, VA 22514 (“DS,” “we,” “us”). When you enroll, you (“you” or “member”) contract with Drainfield Solutions, LLC. No other company is a party to these terms.
1. The plan at a glance
Inspection-based septic pumping only. This is a pumping-only plan: an annual inspection and pumpout-need assessment, and one pumpout of up to 1,000 gallons, triggered by your inspection while your plan is active. The pumpout is done only when your inspection reading is 14 inches or above. Pumpouts are not needed every year, so there is no automatic yearly pumpout (Section 8.2). The plan does not include whole-system maintenance, operator maintenance visits, or Virginia Department of Health (VDH) operator reporting. Alternative systems have their own existing maintenance plan (Section 2A).
| Step 1: Enroll and activate your plan | You enroll by phone, online, or with our office, and agree to these terms. Your plan is not active until BOTH payments are made: the $293.55 Site Visit and Activation Fee and your first $39.35 monthly payment. Both are charged when you enroll, $332.90 in total ($293.55 + $39.35) (Sections 6, 6.1 and 9). Your plan must be active before you receive the annual inspection visit or any pumpout. |
| Step 2: Inspection visit (after your plan is active) | A technician inspects your septic system and measures the sludge and scum in the tank. The inspection triggers your plan’s one included pumpout (one tank, up to 1,000 gallons), and it is done only when the technician’s reading is 14 inches or above (Sections 5 and 8). A pumpout is not triggered by a reading between visits. |
| Plan price each year | $293.55 Site Visit and Activation Fee + $39.35 per month for 12 months ($472.20) = $765.75 per plan year. These are the plan prices. The same price applies each year unless we give you notice of a change (Section 10). |
| Site Visit and Activation Fee | $293.55 per plan year. It is charged when you sign up and again at each renewal, and it renews automatically unless you stop the renewal (Section 10). It covers your annual inspection visit. |
| Monthly payments | $39.35 per month for the rest of the plan year, charged in advance on the same day each month. Your first payment is charged when you enroll. |
| Revisit fee | $285.00 if we cannot do the visit because the tank is not exposed or we cannot get to it (Section 3.3). The revisit fee is separate from the Site Visit and Activation Fee and is not part of the plan price. |
| Payment processing | The plan prices include payment processing, so there is no separate card fee, and the price is the same however you pay. |
| County fee | No county fee is part of the plan price. Any fee a county or the state charges on its own is separate. |
| Emergency service | This plan is not an emergency pumping program. It does not cover emergency or urgent pumping. We do not promise same-day or priority service, and we do not guarantee appointment times. If you need emergency service, call us at (804) 633-1808 for regular service at our current prices. |
| Repairs | Plan members receive 10% off repairs. This applies to repairs only. It is not a reduction in the plan price. |
| Commitment | The plan term is 1 year and renews each year. Each plan year is a 12-month commitment, with no refunds during the plan year (Section 11). If the plan ends early, the entire plan-year price is due (Section 8.4). See Sections 9.2 and 11 before you agree. |
The plan prices are the same however you pay.
2. Who can join
- The owner of record of a single-family home. A business or landlord may join if they own the property.
- Conventional septic systems join the Basic Pump-Out Plan described in this document.
- Alternative systems (a system with a treatment unit or other special equipment, for example aerobic, peat, sand-filter, or drip systems) have their own existing maintenance plan for the system as a whole. An alternative system may join the Basic Pump-Out Plan only in addition to that existing maintenance plan, never instead of it (Section 2A).
- If you are not sure which type you have, tell us when you enroll and we will check our records. If we find at the visit that your system is a different type from the one you told us about, we will explain, offer you the plan that fits your system, and bill you only for the visit.
- The system must be one we can inspect and pump safely.
- The property must be in one of the 15 counties we serve: Caroline, Spotsylvania, Hanover, Stafford, King George, Louisa, Essex, Richmond, King and Queen, King William, Culpeper, Westmoreland, Orange, New Kent and Goochland. The plan is not offered outside these counties. Loudoun, Prince William and Fairfax counties are excluded. If you are not sure your property is in one of these counties, ask us.
- We may decline or end enrollment if a system cannot be safely reached or inspected after we have given you notice and a chance to correct it.
2A. Alternative systems (add-on only)
- Alternative systems already have an existing maintenance plan that covers the system as a whole, including operator maintenance visits and the reports to VDH that go with them. The Basic Pump-Out Plan does not include any of that and does not replace it.
- An alternative system may enroll in the Basic Pump-Out Plan only as an add-on to its existing maintenance plan, never instead of it. The same pumping-only terms in this document apply.
- The add-on has the same price as the plan: the $293.55 Site Visit and Activation Fee and $39.35 per month. It requires that your whole-system maintenance plan is active. If your whole-system plan lapses, the add-on pauses until that plan is current.
3. Before our visit: you locate and expose the tank
3.1 What you do
Before every visit, you locate your septic tank and uncover its access lids (and any pump or dosing chamber lids, if you have them) so the technician can see the lids and open them. Please clear the area around the lids. If your system has risers, make sure the riser lids are not blocked or buried. Keep pets inside.
We do not need you to be home if all the work is outside and you have told us how to reach the lids (gate code, pets, locked areas).
3.2 If you want us to do it
We can locate and expose the tank for an additional fee. The fee depends on how deep the tank is, as shown in the Tank Locate and Expose Fee Schedule (based on tank depth) below.
| Tank depth (to the top of the lid) | Locate and expose fee |
|---|---|
| Up to 6 inches | $75.00 |
| Over 6 inches, up to 12 inches | $150.00 |
| Over 12 inches, up to 18 inches | $225.00 |
| Deeper than 18 inches | Needs a machine. Machine excavation and a separate written estimate; no digging until you approve the estimate. |
We cannot know how deep your tank is until we find it. So before any digging starts, we will tell you which tier applies and the fee for that tier, and we will not start until you approve that fee. We recommend approving in writing (a text or email reply is fine; no card information) so there is a record. If you do not approve the fee, we will not dig, and Section 3.3 applies. Tell us when you schedule. We need to know this ahead of time because digging in Virginia requires a utility-marking request first (Virginia 811), which takes about 3 working days, and we have to schedule for that. If we cannot find the tank within 20 minutes of searching, you will be billed $75.00 for the search. If your tank is deeper than 18 inches, it needs a machine. Machine excavation is priced by a separate written estimate, and we will not start until you approve that estimate.
3.3 If we cannot do the visit: revisit fee of $285.00
We schedule by date only. We do not give arrival times or windows. If the tank is not exposed, or we cannot get to it (for example a locked gate or blocked access), when the technician arrives, the visit cannot be done and a revisit fee of $285.00 applies. Our office will reschedule the visit for the next available date. The Site Visit and Activation Fee is not charged again, and the rescheduled visit is your inspection visit. The revisit fee is separate from the Site Visit and Activation Fee and is not part of the plan price.
The technician will tell you what happened and record it on the visit report. Nothing else is charged to your card without your approval of the specific amount.
4. The inspection visit
The inspection is your plan’s service visit. It is scheduled only after your plan is active (Section 6.1). Your Site Visit and Activation Fee covers the visit. A technician will:
- inspect the tank access, lids, and risers that are exposed and safe to open;
- measure the sludge and scum layers;
- check the inlet and outlet pipes or baffles and the effluent filter, if there is one;
- note any visible signs of water backing up or surfacing in the drainfield area and tell you what we see (we do not diagnose or repair as part of this plan); and
- give you a written report with the sludge and scum readings and a plain statement of whether a pumpout is needed now (Section 8.1).
This is an inspection and pumpout-need assessment of the septic tank for pumping. It is not whole-system maintenance and it is not an operator maintenance visit. It is not a real estate transaction inspection, it is not a guarantee of how your system will perform, and DS does not issue a pass or fail grade.
5. If a pumpout is needed at the inspection
Your plan is already active when the technician tells you the same day that a pumpout is needed. Neither the service visit nor a pumpout is provided until your plan is active (Section 6.1). If a pumpout is needed and you have not yet enrolled, we will explain the plan and you can enroll first; a pumpout we do before your plan is active is billed at our then-current price. The pumpout then follows under the plan’s rules in Section 8: one tank up to 1,000 gallons is part of the plan, and anything beyond that is billed (Section 8.5). If your plan ends early, Section 8.4 applies. After a pumpout you receive a receipt for the work. Unless otherwise required, this plan does not file county paperwork, and any county or state filing is the owner’s responsibility.
6. Enrolling in the plan
- You enroll before the inspection, by phone, online, or with our office. We do not take enrollment on your property. Enrollment is not done until you have read these terms and clicked or told us you agree to the items in Section 10.
- When you enroll, we set up two recurring payments in our secure payment system: (1) the $39.35 monthly payment, for the rest of the plan year; and (2) the $293.55 Site Visit and Activation Fee, which renews each year. The first payment of each is taken when you enroll (Section 9).
6.1 When your plan is active
Your plan is active only when all three of these are true:
1. You are enrolled (you have agreed to these terms under Section 6).
2. The $293.55 Site Visit and Activation Fee has been paid.
3. Your first $39.35 monthly payment has been paid.
Both payments must be made before the plan is active. After that, your plan stays active while your payments are current: every monthly payment due has been paid, and each year’s Site Visit and Activation Fee has been paid on the renewal date, or the payment is still within the 10-day grace period in Section 9.1.
Enrollment comes first for both benefits. The annual inspection and service visit, and any pumpout under the plan (Section 8.1), are provided only while your plan is active. They are not provided before your plan is active, or while your plan is suspended (Section 9.1). If you ask for a visit or a pumpout while your plan is not active, we will bill it at our then-current price, and the 10% repair rate does not apply until your plan is active again.
7. What the plan includes
These are provided only while your plan is active (Section 6.1).
- One inspection and pumpout-need assessment every plan year (the inspection described in Section 4), with a written report. We schedule it by date only; we do not give arrival times or windows.
- One pumpout of one septic tank, up to 1,000 gallons, triggered by your inspection (Section 8). It is done only when your inspection reading is 14 inches or above (Section 8.1). There is no automatic yearly pumpout (Section 8.2).
- 10% off repairs. Repairs only.
- A copy of your inspection report.
Not part of the plan: whole-system maintenance, operator maintenance visits, VDH operator reporting, emergency or after-hours calls, priority scheduling, repairs, parts, replacement of any system components, riser or lid installation, digging or locating the tank, effluent filters, dye or water-use testing, BOD or other lab sampling, and anything not listed above. These are billed at our then-current prices. No emergency service add-on is offered with this plan.
This plan is not an emergency pumping program. It does not cover emergency or urgent pumping. We do not promise same-day or priority service, and we do not guarantee appointment times. If you need emergency service, call us at (804) 633-1808 for regular service at our current prices.
8. Pumpout limits
8.1 When the included pumpout happens (triggered by the inspection)
While your plan is active, your plan includes one pumpout of one septic tank, up to 1,000 gallons. Your inspection (Section 4) triggers it. When the inspection shows the pumpout is needed, we schedule it by date only (no arrival times or windows). A reading taken between inspections does not trigger an included pumpout.
- At your inspection: the technician measures the sludge and scum layers and records the reading in inches on the visit report. The included pumpout is done only when the technician’s reading is 14 inches or above, and the technician’s reading decides.
- Between inspections: no pumpout is included based on a reading between visits. If you want a pumpout between inspections, we will schedule it at our then-current price. The plan does not include a monitoring service.
- If the reading is below 14 inches at the inspection: no pumpout is needed, and the included pumpout is not carried over to the next plan year.
8.2 How many pumpouts are included, and why not every year
One pumpout per plan year, only if your inspection reading is 14 inches or above. There is no automatic yearly pumpout. The same inspection trigger applies each plan year. A second pumpout in the same plan year, gallons over 1,000, and a second tank are billed extra at our then-current prices (Section 8.5).
Why a pumpout is not needed every year (our general explanation, not legal or engineering advice, and not a guarantee about your tank). Many tanks do not need pumping every year. How fast solids build up depends on how a home uses its system. Things that can increase solids in the tank include using a garbage disposal, high occupancy (many people living in the home), flushing wipes (wipes should not be flushed), anyone in the household taking medications, and other reasons that can increase solids. That is why the plan pumps only when your inspection shows your tank is due. Unless otherwise required, this plan does not set, track or replace any pumpout schedule your county or the state may impose. If your county requires a pumpout on a set schedule, an inspection below 14 inches will not pump your tank, and you can order a pumpout at our then-current price.
8.3 What is part of the plan
- Pumping and hauling the contents of one septic tank up to 1,000 gallons, and the disposal cost.
- A receipt for the pumpout.
8.4 If your plan ends early: the entire plan-year price is due
Your plan year is a 12-month commitment (Section 11). If your plan ends before the end of the plan year because you stop paying, or because we end it for nonpayment or no safe access (Sections 9.1 and 11), the full price of that plan year is due: the $293.55 Site Visit and Activation Fee plus all twelve $39.35 monthly payments ($472.20), a total of $765.75, less what you have already paid. It is due on the date the plan ends and is shown on your invoice. This applies whether or not we have already done your pumpout. It is the price of the plan year you agreed to, not an added fee or penalty. Nothing you have paid is refunded. You will not be billed twice: amounts you pay under Section 9.2 count toward this amount. It covers the current plan year only, not later years. If we never performed your inspection or pumpout, we credit against the amount due the cost to us of the service we did not perform. If you sell your property and the new owner enrolls, your remaining payments may stop under Section 12. Telling us you want to cancel in the middle of a plan year does not end the plan or the amount due; to avoid next year’s charge, stop the renewal (Section 11). If we do not provide the plan, or the law gives you a right to cancel or a refund, we follow the law.
8.5 What is NOT part of the plan (billed separately at our then-current prices)
- Gallons over 1,000 gallons in a tank.
- More than one tank, or a second chamber, pump tank, dosing tank, or treatment unit.
- Difficult access: a tank that is buried, blocked, farther from where our truck can park than two standard lengths of our hose, or reachable only by hand carrying equipment; frozen or saturated ground that prevents safe access.
- Risers and lids: if there is no riser or the lid cannot be opened safely, we will need to install a riser or repair a lid before pumping. Riser installation, lid repair, and any digging are priced separately. Tell us before the visit if you do not want us to cut or replace a lid.
- Cleaning or replacing an effluent filter, tees, baffles, or pumps.
- Emergency or urgent pumpouts. The plan does not cover emergency, urgent or after-hours pumping, and we do not promise same-day or priority service. If you need it, call us for regular service at our current prices.
- A repeat trip because the tank was not exposed or the technician could not get to it (Section 3.3).
- Unusual material in the tank (grease, trash, sand, construction debris) that adds time or cost.
8.6 Scheduling
We schedule by date only. We do not give arrival times or windows. If you need a particular day, tell us when you schedule and we will do our best, but we cannot promise it.
The plan does not pump on a fixed calendar. The one included pumpout is performed when the inspection shows your tank is due (Section 8.1), and we schedule it with you by date. We do not guarantee an appointment time.
9. Payment
- How you pay. When you enroll, your payments are set up as two recurring payments charged through our secure payment system on the card you give us (payment processing is included in the plan prices): the $39.35 monthly payment (for the rest of the plan year, charged in advance on the same day each month) and the $293.55 Site Visit and Activation Fee (charged when you enroll and each year at renewal). We never ask for your card number, expiration date, or security code by email or text. If you want to give or change a card, we will send a secure link or take it by phone through the secure system.
- When your plan is active. Your plan is not active until both the Site Visit and Activation Fee and your first $39.35 monthly payment have been made (Section 6.1).
- Payment processing is included in the plan prices. The plan price is $39.35 per month and $293.55 for the Site Visit and Activation Fee, $765.75 per plan year, however you pay. We do not add a separate card fee to these payments.
9.1 If a payment fails or is late
- Notice. We will tell you by email (and by text if you have agreed to texts) and give you a secure link to update your card.
- Grace period: 10 days from the date the payment was due, for any payment after your plan has become active. Nothing changes during the grace period.
- Suspension. After the grace period, until your account is current, your plan is not active (Section 6.1) and you do not receive either benefit under the plan: no annual inspection or service visit, and no pumpout. We will not schedule them, and the 10% repair rate does not apply. Any visit or pumpout you ask for during a suspension is billed at our then-current price. Your plan year does not get longer because of a suspension, and the payments you missed are still owed.
- Reinstatement. Pay everything past due, and your plan is active again. We will then schedule your visit or pumpout by date.
- Termination. If your account is 60 days past due, we may end the plan and give you notice. Section 9.2 then applies. You can enroll again later, but you start as a new member.
- County and state requirements. Unless otherwise required, this plan does not set, track or file any county or state requirement, and you are responsible for any county or state requirements and due dates that apply to your property, whether or not your plan is active.
- No refunds. Payments already made are not refunded because of a suspension or termination for nonpayment, and an unused pumpout has no cash value, except where the law requires otherwise.
9.2 If the plan ends for nonpayment: current plan year due
If the plan is cancelled or ended because of nonpayment, the unpaid balance of your current plan year becomes due and payable on the date the plan ends. That balance is any unpaid part of the $293.55 Site Visit and Activation Fee plus all remaining $39.35 monthly payments through the end of that plan year. It does not include later plan years. If you pay the balance, you keep your plan benefits through the end of that plan year. This is the same amount described in Section 8.4, counted once. You will see this obligation next to the place you agree when you enroll (Section 10).
10. Renewal and changes
- Automatic renewal. After your first plan year, the plan renews automatically for another 12 months on your renewal date. On that date the $293.55 Site Visit and Activation Fee is charged again, and monthly payments of $39.35 continue, unless you stop the renewal before the renewal date (Section 11).
- Renewal notice: 60 days before renewal. We will email you a written notice 60 days before each renewal. It will say that the plan will renew unless you stop it, the charges ($293.55 Site Visit and Activation Fee and $39.35 per month, $765.75 per plan year), the date by which you must act to stop the renewal, how to do so (online with the Stop my renewal form on this page, by email to info@drainfieldsolutions.com, or by phone, Section 11), and a copy of these terms. The notice includes a direct link to the form.
- Price changes. Before any change to the price or terms takes effect, we will send you a clear notice and tell you how to cancel the renewal. A change will not apply until after the notice, and not before your next renewal unless you agree.
- No multi-year option. The plan is a 1-year term only. We do not offer a multi-year or prepaid term.
- Your agreement. When you enroll, you will see next to the place you agree: that the plan renews automatically for 12 months until you stop it; the recurring charges ($39.35 monthly and the $293.55 Site Visit and Activation Fee each year, $765.75 per plan year); that each plan year is a 12-month commitment with no refunds during the plan year, and the amount due if the plan ends early (Sections 8.4 and 9.2); how to stop the renewal (online with the Stop my renewal form, by email to info@drainfieldsolutions.com, or by phone); and the deadline to do so. You must agree by your own action (a box you check or a clear yes). We then send you a copy of these terms, including how to stop the renewal, that you can keep.
11. Stopping your renewal; no refunds during the plan year
- No mid-term cancellation and no refunds in the term. After you enroll, your plan year is a 12-month commitment. We do not cancel a plan in the middle of a plan year, and we do not refund payments made, including during any first days after enrolling, except where the law requires otherwise.
- You can always stop the next renewal. You can tell us at any time that you do not want the plan to renew. There are three ways, and they all work the same: (1) use the Stop my renewal form on this page; (2) email info@drainfieldsolutions.com saying you do not want the plan to renew; or (3) call (804) 633-1808 (answered during business hours; messages are returned promptly) or contact our office. Your renewal is stopped when we receive your request, as long as we receive it before your renewal date. You do not have to wait for a reply, and we will email you to confirm. If we receive your request after your renewal date, the new plan year has already started, so the plan ends at the end of that plan year and does not renew after it. You do not need to talk to a manager or send a letter. A cancellation call is not billed to you.
- When it takes effect. The plan ends at the end of your current plan year, and there is no new renewal. Your remaining monthly payments for that plan year are still due, and we do not cancel the plan or refund payments in the middle of a plan year. No further charges are made after the plan year ends, and the Site Visit and Activation Fee is not charged again.
- The Site Visit and Activation Fee. The fee is not refunded once charged.
- Money owed. Anything you owe for services outside the plan stays due. If the plan ends early, the entire plan-year price is due (Sections 8.4 and 9.2).
- Our right to end the plan. We may end the plan for nonpayment (Section 9.1) or if we cannot safely access your system after notice, and we will tell you in writing.
Stop my renewal (Basic Pump-Out Plan)
Use this form to tell us you do not want your Basic Pump-Out Plan to renew. It works the same as emailing info@drainfieldsolutions.com. You do not need to call, send a letter, or talk to anyone.
What happens:
- Your plan ends at the end of your current plan year, and it will not renew.
- Your $39.35 monthly payments for the rest of this plan year are still due. We do not cancel the plan or refund payments in the middle of a plan year.
- After your plan year ends, we do not charge the $293.55 Site Visit and Activation Fee or the monthly payments again.
- Your request counts when we receive it, as long as it is before your renewal date. You do not have to wait for a reply. We will email you a confirmation right away. If we receive it after your renewal date, the new plan year has already started, so your plan ends at the end of that plan year instead.
- You can also stop your renewal by email to info@drainfieldsolutions.com, by calling (804) 633-1808, or through our office. All of these work the same.
"*" indicates required fields
12. If you sell your property
- The plan is not transferable. It is yours as the owner who enrolled. A new owner who wants the plan must enroll on their own (Section 6), pay their own $293.55 Site Visit and Activation Fee and first $39.35 monthly payment, and start a new plan year. Please tell us the buyer’s name and the closing date.
- When the property sells, your plan ends. Fees already paid are not refunded, and an unused pumpout has no cash value, except where the law requires otherwise.
- Your remaining payments stop when the new owner enrolls, only if the pumping value has been recouped. The pumping value is measured against the current standard pumpout price on our price list. It is recouped when (a) the payments you have made under the plan, including the Site Visit and Activation Fee, total at least that price, or (b) the one included pumpout has been performed. If the pumpout was never performed, your remaining payments stop once the payments you have made reach the current standard pumpout price. If the pumping value has not been recouped, or the new owner does not enroll, the amount in Section 8.4 stays due.
- On request, we will give the new owner copies of the inspection reports for the property.
- This plan’s inspection is a maintenance inspection. If a buyer, lender, or agent needs a real estate inspection, that is a separate service.
13. How we contact you
- We will email you about billing, scheduling, renewal, and your plan. We will text you about these things only if you checked the box agreeing to texts. Message and data rates may apply. You can reply STOP to texts and use the unsubscribe link on any marketing email. Agreeing to texts is not required to join.
- Marketing emails include our business address and a working opt-out. Plan notices (billing, renewal, changes) are sent even if you opt out of marketing.
14. General terms
- Scope. The plan covers only what is written here. Inspections and pumpouts do not guarantee that your system will not fail or have problems. Services outside the plan may need extra fees or a separate agreement.
- Liability. To the fullest extent the law allows, our total liability for services under this plan is limited to the amount you paid us in the last 12 months.
- Owner of record. The plan must be bought by the owner of record.
- Access. You agree to give us legal access to the property and system. If we cannot get in because of a locked gate or blocked access, the $285.00 revisit fee in Section 3.3 applies.
- If these terms differ from our general Maintenance Plans Terms & Conditions, these terms control for the Basic Pump-Out Plan.
- Who you contract with. These terms are between you and Drainfield Solutions, LLC.
- Law. Virginia law applies.
